Volunteers we are looking for:

Judges, Directors,  Educators, and general volunteers

Judges: You can apply here – waiver will be open May 1, 2025.

Judges should have:   

  • Extensive experience and knowledge in power exchange dynamics.
  • A commitment to fair and thoughtful evaluation.

We have decided to have all judges apply for transparency in the process.  We do not want only our family and friends on the judging panel.  We want qualified candidates to apply and feel like they could be a judge.

The Contestant Wrangler is the friendly and organized point of contact for all participants at the Western Canada Power Exchange Contest. They manage schedules, coordinate logistics, and provide crucial support to contestants, ensuring they can focus on giving their best performance on event day.

Responsibilities:

  • Review contestant applications and requirements

  • Organize and manage contestant schedules, meetings with judges, and rehearsal slots.

  • Ensure all contestants know where they need to be and when throughout the event.

  • Assist contestants with props, equipment, and logistical needs after the contestants’ meeting at the stage.

  • Provide real-time support for any last-minute schedule changes or adjustments.

  • Be present on-site to assist with questions, concerns, or unexpected issues.

  • Oversee contestant stage setup, music coordination, and performance logistics.

  • Communicate with the Stage Director, stagehands, Contest Director, and WCPE producers to ensure a smooth competition flow.

  • Help gather post-event feedback from contestants to improve future contests.

  • Assist with the return of contestant equipment, materials, and belongings after the event.

Ideal Candidates:

  • Highly organized and detail-oriented.

  • Comfortable managing schedules and coordinating with multiple teams.

  • Able to work well under pressure and adapt to last-minute changes.

  • Strong communication and problem-solving skills.

  • Previous event coordination experience is a plus but not required.

  • Computer skills.

Contest Director

The Contest Director is a key position, responsible for overseeing all contest logistics and ensuring exceptional experiences for contestants, judges, and attendees alike.

Responsibilities:
  • Contestant Coordination:
    Manage contestant registration and review applications as they come in to ensure they are completed as per the IPE and WCPE rules with the producers of WCPE
    Alongside with the help of the WCPE producers, you will ensure contestants understand the rules, expectations, and flow of the event.
  • Judges’ Meetings:
    Alongside the help of the WCPE producers, you will ensure judges and those helping them understand the rules, expectations, and flow of the event.
    Lead judges’ meetings to review contest guidelines, scoring, and event logistics.
    Provide oversight to each judge on how to score, and any contestant information that they require to be able to judge
  • Competition Oversight:
    Oversee the competition, including management of directors/leads and volunteers helping with contestants and stage production in any way
    Guide tally masters, timers, and Judges in the event
    Collaborate with the Event Scoring Team to ensure accurate and timely results.
    Provide scores to the WCPE producers at the end of the competition
  • Problem-Solving:
    Be the go-to person for resolving any issues that arise during the contest.
  • Collaborate with the production team, stage crew, and contestant wrangler to keep the competition running smoothly.

  • Handle contestant concerns and logistical issues.

  • Ensure all segments of the competition adhere to time constraints.

  • Work with Judges to coordinate scoring, deliberations, and feedback sessions.

  • Manage communication between different teams, including stagehands, tech crew, and volunteers.

  • Assist in post-event wrap-up and debriefing.

Ideal Candidate:
  • Experience with event planning, competition management, or stage production.

  • Strong leadership and problem-solving skills.

  • Ability to manage schedules, people, and unforeseen changes with professionalism.

Stage Director

The Stage Director ensures the seamless flow of the competition from backstage to the main stage, working closely with the Contestant Wrangler and technical team. The Stage Directors and stagehands play a critical role in the West Canada Power Exchange Contest, guiding the show from behind the scenes with precision and focus. They coordinate the timing, manage transitions, and support the team to create a flawless experience on stage.

Responsibilities:
  • Oversee the stage setup and contestant flow.

  • Performance Coordination:
    Ensure that each contestant’s performance runs smoothly by managing transitions between acts and keeping a keen eye on timing.
    Work closely with the Contestant Wrangler, Contest Director, Stage Hands, and other key team members, as well as the MC, to maintain a unified flow throughout the event.
    You are the event sound person and the music team!
    Oversee the setup and takedown of stage equipment and props, ensuring everything is in place before performances begin.
  • Ensure all necessary props and equipment are ready before each contestant’s performance.

  • Manage communication between the contestant wrangler, stagehands, and production team.

  • Ensure all performances adhere to safety guidelines and venue regulations.

  • Conduct a pre-event rehearsal with contestants, providing guidance on stage logistics.

  • Assist in the return and storage of stage equipment and materials for contestants.
Ideal Candidate:
  • Experience with stage management, performance coordination, or event logistics.

  • Strong organizational and multitasking abilities.

  • Ability to work under pressure and handle last-minute changes smoothly.

Auction and Fundraising Director

This role focuses on coordinating fundraising efforts, including silent auctions and donation drives, to support future WCPE events.

Responsibilities:
  • Organize the auction, ensuring items are cataloged and displayed properly.

  • Coordinate with donors, sponsors, and attendees.

  • Manage bids and payments, ensuring a smooth process for auction participants.

  • Work with the marketing team to promote fundraising efforts.

  • Handle post-event follow-ups, including thanking donors and winners.

  • On-site support the day of the event.
Ideal Candidate:
  • Experience in event fundraising, nonprofit work, or auction management.

  • Strong communication and organizational skills.

  • Attention to detail and ability to manage financial transactions securely.

Scorekeepers

This role focuses on accurately recording and managing scores during the WCPE contest to ensure a fair and transparent competition.

Ideal Candidate:
  • Strong attention to detail and accuracy with numbers.
  • Ability to maintain confidentiality and impartiality.
  • Experience with spreadsheets or scorekeeping tools (preferred but not required).

The Event Scorekeeper ensures that contestants receive fair, accurate, and transparent scoring. Your role is vital to upholding the integrity of the competition and guaranteeing that results are processed smoothly and efficiently.

General Volunteers: You can apply here  

General volunteers help ensure the event runs smoothly by assisting in various areas, such as registration, hospitality, technical support, and attendee assistance.

Volunteer Roles Include:

  • Registration & Check-in – Greet attendees, manage event entry, and distribute materials.

  • Hospitality & Attendee Support – Help guests navigate the event, provide information, and ensure a welcoming atmosphere.

  • Runner/Floater – Available for general assistance wherever needed during the event.

Ideal Candidates:

  • Enthusiastic, reliable, and willing to assist in different capacities.

  • Comfortable working in a team and taking direction from event staff.

  • Strong customer service skills and a friendly demeanor.


Educators: You can apply here  

Educators lead workshops, discussions, and skill-building sessions during the event, providing attendees with valuable knowledge about power exchange dynamics, communication, and other related topics.

Responsibilities:

  • Prepare and deliver engaging educational sessions.

  • Create a welcoming, inclusive learning environment.

  • Answer attendee questions and provide resources for further learning.

  • Work with event organizers to align sessions with the event’s overall themes.

Ideal Candidate:

  • Experienced in power exchange dynamics, negotiation, or related topics.

  • Comfortable speaking to groups and leading discussions.

  • Ability to adapt to different learning styles and participant needs.
